Lucca Expenses offers models for exporting accounting entries in native formats for the main accounting suites. This includes the various product lines of companies like SAGE, and Netsuite. The same applies to the main ERP solutions on the market: SAP, Navision, AX and others.

The configuration of the export is limited to customizing the labels of the entries and to transferring your chart of accounts into Lucca Expenses's configuration.

Accounting entries can be exported in various ways:

  • Regular uploads to a secure file server
  • On-demand generation of accounting entry files by using our API, an application programming interface that enables two applications to communicate directly with each other
  • Manual import and export of the accounting entry file: the accounting entries do not need to be monitored in real time. This process does not require any integration work
  • Sending accounting entries by email at any frequency you choose

Transcription of your chart of accounts from accounting to HR

Lucca Expenses is configured to faithfully transcribe your general chart of accounts including expense accounts, VAT accounts, accounts of third-party employees and their auxiliaries. It also includes other balance sheet accounts related to the management of expense reports such as bank and petty cash accounts.

Similarly, in Lucca Expenses, you can transcribe various analytical frameworks (projects, cost centers, customers). Lucca manages the analytical hierarchies such as the relationships between a client and project, but also users' allocation rights, for example, to limit the projects that are accessible by any employee.

Analytical allocations can be synchronized with Lucca Expenses from your ERP via our API or via a file transfer on a secure FTP server.

There are no barriers between your accounting software and your HR expense management software, enabling effective communication.

A highly customizable accounting interface

The concept of an accounting entry is universal and there is a wide variety of accounting software that interfaces with HR management software. In addition, these accounting suites are highly customizable, including labels, journals, and the structure of auxiliaries.

Lucca Expenses export formats adhere to the same standard. You can simply select the types of entries you wish to follow, such as charges with employee or bank counterparts, advances, charges on advances, and payments. You can define the fields for export, the format of the amounts, and build labels by concatenating the information of your choice. You can even define the rules for truncation, whether by unit, tenth or hundredth, and field completion, if your accounting software requires a particular format.

We have yet to encounter an accounting software program whose format cannot be generated by our expense report software.

Indirect integration between Lucca and accounting systems

Our time and activity management solution exports the time allocated to projects by your employees to your ERP. This secure connection allows you to analyse the breakdown of the compensation of your employees according to their activity.

The same is true for our variable payroll management solution, compensation, and our leave and absence management solution. These human resources solutions export the data required to prepare your payroll, which you can then convert for accounting systems.
